The Role
Coordinates administrative and operational functions for the Senior Director, program directors, and staff within the Play & Competition Department to ensure the organized and efficient delivery of initiatives supporting USTA’s 35x35 mission. The position manages scheduling, communication, and reporting across Youth Pathway, Adult Competition, World Tennis Number, and Cardio Tennis programs, maintaining the structure and consistency that enable leadership and staff to plan, align, and execute departmental priorities effectively.
- Manage calendars, scheduling, and correspondence for the Senior Director and departmental leadership to ensure meetings, timelines, and deliverables stay aligned.
- Prepare and edit presentations, reports, agendas, and meeting materials to support clear communication and follow-through across leadership and staff.
- Coordinate planning and execution of departmental initiatives across Youth Pathway, Adult Competition, World Tennis Number, and Cardio Tennis, maintaining visibility across related projects and deliverables.
- Collect, verify, and organize data for departmental dashboards, performance metrics, and reports used in leadership planning and progress tracking.
- Maintain departmental trackers, calendars, and shared documentation to provide accurate, current information and operational consistency.
- Plan and coordinate internal and external meetings, webinars, and events, including logistics, agendas, and post-meeting distribution of materials.
- Process departmental financial transactions through Concur (invoices, reimbursements, purchase orders, and check requests) and maintain corresponding records and approvals.
- Maintain administrative and compliance documentation such as contracts, W-9s, certificates of insurance, and waivers; coordinate with Legal and Finance to ensure timely processing.
- Develop and maintain templates, trackers, and reference tools that promote workflow consistency and improve efficiency across teams.
- Coordinate scheduling within Play & Competition as well as with other departments and divisions to ensure alignment of updates and deliverables.
- Manage and support the use of collaborative and virtual platforms - including Google Workspace, Monday.com, Zoom, and Google Meet - to coordinate communication, scheduling, and information sharing across teams.
Who You Are
- Equivalent administrative experience of a minimum of three years.
- A tennis-playing background is helpful.
- Advanced proficiency in Microsoft Suite & G-Suite (Gmail, Calendar, Drive, Docs, Sheets, Slides, Forms), Adobe Photoshop, and virtual meeting platforms such as Zoom & GoogleMeet.
- Possess the ability to learn & manipulate new programs and processes.
- Excellent verbal, written, and interpersonal skills.
- Interpersonal & organizational skills - clear, friendly written and verbal communicator with extreme attention to detail.
- This position is designated as "hybrid/flex" in Orlando and may allow remote and on-site work. Any such position must meet the current USTA hybrid/flex requirements, as updated occasionally.
The expected salary for this position is $18.00 - $20.00 hourly rate. This range does not include any additional pay or benefits for which a person may qualify. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
