The Role

The part-time Coach Engagement Assistant provides operational and creative support to the USTA Coaching team. This role is responsible for the day-to-day management of the USTA Coaching content calendar, the administrative execution of email and digital campaigns, and the coordination of cross-functional workflows with Marketing, Social Media, and PR teams. The primary goal is to ensure that all engagement initiatives are delivered on time, with high quality, and in alignment with the department's strategic KPIs.

Key Responsibilities:

 

Project Intake & Coordination

  • Serve as the first point of contact for all incoming marketing requests related to USTA Coaching
  • Manage and maintain a centralized USTA Coaching marketing request intake system
  • Ensure requests are complete, clear, and aligned with established timelines and standards before submission to Marketing
  • Creative Brief Coordination: Draft and track creative briefs for the Marketing and Creative teams to ensure timely production of campaign assets.
  • Editorial Quality Control: Serve as the first line of defense for editorial standards, ensuring all external communications are accurate, on-brand, and accessible.
  • Timeline Tracking: Utilize project management platforms to monitor timelines and ensure all deliverables meet established deadlines.
  • Assist with tracking and managing invoices and expense reports while maintaining organized records.

 

Approval Process Management

  • Coordinate the end-to-end approval process across Marketing, business representatives, and other stakeholders
  • Track approvals, feedback, and revisions to ensure timely sign-off
  • Prepare content and materials for final review and approval by Managing Director and Head of Business Development, USTA Coaching 

 

Go-To-Market (GTM) Support

  • Support GTM planning and execution for marketing initiatives related to coach engagement
  • Maintain timelines, launch calendars, and deliverables for campaigns and initiatives
  • Ensure GTM plans are communicated clearly across teams

  • Minimum of 2 years of experience in an administrative assistant, project coordinator, or similar role.
  • Strong organizational and project coordination skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple requests and stakeholders simultaneously
  • High attention to detail and follow-through
  • Position is considered non-exempt.
  • This position is designated as "hybrid/flex" and may allow for both remote and on-site work. Any such position must meet the current USTA hybrid/flex requirements as updated from time to time. Please consult HR for the most current policy."

  • The expected salary for this position is $20.00 - $23.00 hourly rate. This range does not include any additional pay or benefits for which a person may qualify. The actual base salary offered is determined by several variables, including, as appropriate, the applicant's qualifications for the position, the years of relevant experience, their unique skills, and the location from which they will be performing the job.
